Terms of Service

Last updated: October 22, 2026.

These terms apply to our website and to the Valley Front Desk service. Each office that subscribes ("Customer") also signs an order form or service agreement and, for healthcare offices, a Business Associate Agreement (BAA). If those documents conflict with these terms, they control.

1. The service

Valley Front Desk provides an AI receptionist that answers phone calls for offices and businesses. Depending on the plan, it answers office questions the Customer approves, takes messages, books or requests appointments, collects intake details, routes urgent calls, sends call summaries, and sends text messages the Customer turns on. We set up the service with the Customer before it goes live.

2. No professional advice

The service doesn't give clinical, dental, medical, first-aid, legal, financial or other professional advice. It doesn't create an attorney-client, doctor-patient or other professional relationship between a caller and the Customer or us. It isn't an emergency service: in an emergency, callers are told to call 911. The Customer stays responsible for professional decisions, emergency coverage and on-call arrangements.

3. AI and recording disclosure

At the start of every call, our AI receptionist will tell callers that it's an AI and that the call is recorded. The Customer agrees not to ask us to remove these disclosures.

4. Customer responsibilities

  • Give us accurate office information, approve the answers before go-live, and tell us promptly about changes
  • Follow the call-recording and consent laws that apply in its state, including any notices those laws require beyond the disclosure our AI receptionist will give at the start of each call
  • Get any consent required before we send confirmations, reminders, check-in, payment-link or other messages on its behalf
  • Set up call forwarding and keep on-call contacts current
  • Review call summaries and confirm bookings as agreed
  • Keep its own professional duties, such as conflict checks, clinical decisions and deciding whether to take a matter or a patient
  • If it's covered by HIPAA, sign a BAA with us before any patient call goes live

5. Fees, plans and pilot

Current plans, prices, included minutes and setup fees are listed on our pricing page; the prices in the Customer's order form apply. Plans are priced per office location, per month. Plans are month to month and the Customer can cancel any time. Extra minutes are billed at the published rate, and we let the Customer know before it goes over its included minutes. Founding offices keep their founding price for 12 months as long as they stay subscribed. Founding offices can try a free 14-day after-hours pilot with no card needed; at the end, they decide whether to continue. Prices don't include sales tax, if any applies. Kiosk hardware, if ordered, is billed at cost.

6. Acceptable use and our materials

The website and the service, and everything we create for them, including our call scripts, office playbooks, configurations, workflows, demo recordings and videos, written content, designs, logos and the Valley Front Desk name, belong to Valley Front Desk or its licensors and are protected by copyright, trademark, trade secret and other laws. Customers get a limited, non-exclusive, non-transferable right to use the service for their own business during their subscription. Website visitors may view our pages for their own information. All other rights are reserved. The Customer's office information and call data remain the Customer's; this section protects our materials, not theirs.

You may not, and may not help or allow anyone else to:

  • Use the service for anything unlawful, deceptive or harassing, or to send messages to people who haven't agreed to receive them
  • Copy, republish, frame or make derivative works from our website content, call scripts, playbooks, configurations, demo recordings or videos, except as these terms allow
  • Scrape, crawl or systematically download our website or service for competitive purposes, such as building a competing product or compiling our content, scripts, pricing or features (ordinary search-engine indexing, and AI assistants that help people find us, are welcome)
  • Reverse engineer or probe the service, or try to extract our AI receptionist's instructions, configurations or underlying workings, including through calls or messages designed for that purpose, except where the law expressly allows it
  • Resell, sublicense, rent, white-label or otherwise provide the service to anyone else without our written agreement
  • Use our website, content, scripts, demo, or any access received during a demo, pilot or subscription, to build, train or improve a competing product or service
  • Remove or obscure any copyright, trademark or other notice, or any watermark in our recordings or videos

7. Confidential materials

During sales conversations, demos, pilots and onboarding we may share materials that aren't public, such as proposals and quotes, playbooks and call scripts in progress, configuration details, security summaries and product plans ("Confidential Information"). Anyone who receives Confidential Information must keep it confidential, use it only to evaluate or use the service, share it only with their own staff and advisers who need it and are bound to keep it confidential, and return or delete it when we ask. This doesn't cover information that is or becomes public through no fault of the recipient, that the recipient already knew or developed independently, or that the recipient lawfully received from someone else without a duty of confidentiality. A recipient may disclose Confidential Information when the law requires it, after giving us prompt notice where allowed. If we've signed a separate nondisclosure or service agreement with you, it also applies and controls if it conflicts with this section.

8. Privacy

How we handle information is described in our Privacy Policy and, for patient information of healthcare Customers, in our BAA with the Customer.

9. Disclaimers

AI systems can make mistakes, and phone and internet networks can fail. We work to keep the service accurate and available, but we don't promise that it will be uninterrupted or error-free. Except as stated in the Customer's order form or service agreement, and to the extent the law allows, the website and the service are provided "as is" and "as available", without other warranties.

10. Limitation of liability

To the extent the law allows, Valley Front Desk isn't liable for indirect, incidental, special or consequential damages, or for lost profits, revenue or data, arising from the website or the service. The Customer's order form or service agreement sets out any limit on our total liability. Nothing in these terms limits liability that the law doesn't allow to be limited.

11. Termination

The Customer can cancel any time; plans are month to month. We may suspend or end the service if a Customer doesn't pay, breaks these terms, or uses the service in a way that puts callers, other customers or us at legal risk. When the service ends, we stop answering calls for that office, and call records are handled under the office's retention choice, our agreement and our Privacy Policy.

12. Governing law

The governing law and the place for resolving disputes are set out in each Customer's order form or service agreement.

13. Changes to these terms

We'll post any updates on this page and change the "last updated" date.
