AI receptionist for dental offices

Stop losing new patients to voicemail.

Valley Front Desk is the AI receptionist we built for dental offices in all 50 states. When your team can't pick up (after hours, over lunch, or when every line is ringing), it answers in English, Spanish or Vietnamese, books new patients, handles everyday insurance and billing questions from your approved answers, and gets dental emergencies to your on-call dentist. It never gives clinical advice. We sign a BAA with your practice before go-live.

Hear Sunny answer for Sunny Smiles Family Dental

About 2 minutes. Sunny Smiles is a fictional office we made up for the demo; test callers, made-up phone numbers.

Listen for

  • The AI and recording notice in the very first sentence
  • Spanish and Vietnamese offered up front
  • An insurance question answered without promising coverage
  • Two appointment times, then a clear recap

What a patient call sounds like

Sunny: Hi, thanks for calling Sunny Smiles Family Dental. I'm Sunny, the office's AI assistant. This call is recorded so our team can help you. How can I help today?

Caller: Hi, I'm new to the area and need a cleaning. Do you take Bay Dental Plus?

Sunny: Yes, that's one of the plans the office works with. Our team will check your benefits before your visit. I have Tuesday at 9 AM or Wednesday at 10 AM. Would either work?

Caller: Wednesday at ten.

Sunny: Great. I've put in Wednesday at 10 AM for a new-patient exam and cleaning. The team will text you to confirm, along with the new-patient forms.

Plan names and times are made up. Book a 15-minute demo and we'll set one up that answers like your office.

Booked before they call the next office

A new patient who reaches voicemail may never call back. We answer, collect only what your team needs, and get them on the schedule.

  • Name, callback number, reason for the visit and preferred times
  • Cleanings, exams, consults and emergency visits, following your scheduling rules
  • Booked straight into your practice software on the Booking plan and up, where a supported connection exists (we confirm your system), or sent to your team as a request
  • New-patient forms by text, and what to bring to the first visit
  • Reschedules and cancellations, with a gentle note about your policy

Insurance & billing

"Do you take my insurance?" answered from your list

Your front desk stops reading the plan list over the phone. Callers get a straight answer from your list, and your team gets the details it needs to verify benefits.

  • Which PPO, HMO and other plans your office works with, never what a plan will pay
  • Carrier, member ID and subscriber details collected so your team can verify benefits before the visit
  • Payment options, financing and membership plans you approve
  • Questions about a specific balance become a message for your billing team

Complete Front Desk Automatic eligibility checks before appointments, balance questions, text-to-pay statements and payment plans, connected to your practice software during a 2–4 week setup. Setup time depends on your scheduling software. Card numbers are never taken by voice; payments go through secure hosted links or card readers, with your office as the merchant.

Dental emergencies

A 9 PM toothache reaches your on-call dentist, not voicemail

The assistant doesn't judge how serious something is or give home-care tips. It routes, following rules your dentist approves.

  • Signs of a medical emergency (trouble breathing or swallowing, swelling spreading toward the eye or neck): a clear instruction to call 911
  • Urgent dental problems (knocked-out or broken tooth, severe pain, swelling): connected to your on-call dentist, or flagged for an urgent callback
  • Everything else: booked, or noted for your team

Made for your kind of practice

Tuned to family, pediatric and orthodontic offices

Different practices get different calls. We set up the assistant around the questions your patients and parents actually ask, and you approve every answer before go-live.

Family & general dentistry

Keep the schedule full without adding staff.

  • New-patient requests with insurance carrier and reason for visit
  • Cleanings, reschedules and cancellations
  • Payment and financing options you approve
  • Urgent problems routed to your on-call dentist

Pediatric dentistry

Most calls come from parents, often after school or once the kids are in bed.

  • A child's first visit, explained in words you approve
  • Parent's name and callback number with the child's details
  • "What age should the first visit be?" answered with your office's own answer
  • Sibling visits booked in one call

Orthodontics

Consults booked, loose brackets handled calmly.

  • Consults for kids, teens and adults
  • Payment-plan and first-visit questions from your approved answers
  • Adjustment reschedules for busy families
  • Broken brackets, poking wires or a lost aligner: a message to your team, or your on-call line. Never a home fix

A day at a dental front desk

The phone rings at the worst moments. We pick up.

  1. Before you open. A parent calls about a chipped tooth. The assistant takes the details, flags it as urgent, and your team sees it first thing.

  2. Lunch hour. A new patient wants a cleaning. The assistant answers her insurance question and books a time (or a request your team confirms).

  3. Both lines busy. Your front desk is checking in three patients. The overflow call gets a warm answer instead of a ring-out.

  4. After closing. A dad calls in Spanish to move his daughter's visit. The whole call happens in Spanish.

  5. Late evening. A caller describes a knocked-out tooth. The assistant connects them with your on-call dentist right away.

  6. Next morning. Your team opens one tidy summary: every call, what each patient needed, and what still needs a human.

In your patients' language

Every family gets the same warm welcome

Parents can book and ask questions in the language they're most comfortable with, and your team gets the summary in English.

"Necesito una cita para mi hija."

"Tôi muốn đặt lịch hẹn cho con tôi."

Example caller phrases. Scripts are reviewed by native speakers before go-live.

Straight answers for dental offices

What is an AI receptionist for a dental office?

An AI receptionist for a dental office answers the patient calls your front desk can't get to, in a natural voice. Ours books new-patient cleanings and exams (or sends requests your team confirms), tells callers which insurance plans you work with, collects their carrier and member details, and routes dental emergencies to your on-call dentist. Clinical questions always go to your dentist and team.

How is it different from a dental answering service?

A message-taking dental answering service leaves your team a list of callbacks. Our AI receptionist goes further: it answers questions from responses your office approves, books or requests visits, handles several calls at once, works in English, Spanish and Vietnamese on every plan, and sends one morning summary. Urgent calls still go to your on-call dentist, and it never gives clinical advice.

Can it answer patient calls after hours and on weekends?

Yes. It answers every call you forward, including nights, weekends, lunch and busy afternoons, so new patients reach a friendly voice instead of voicemail. Urgent dental problems, such as a knocked-out tooth or severe pain, go to your on-call dentist or are flagged for an urgent callback. Everything else is booked or noted for your team's morning summary.

Will patients know they're talking to an AI?

Yes, on every call. The assistant will say it's an AI in its first sentence, tell callers the call is recorded, and offer a person whenever someone asks. We're building it that way on purpose: honesty is part of good patient care.

What happens with a real dental emergency?

It routes the call. It never advises. The assistant gives no first-aid or clinical advice; it asks a few routing questions your dentist approves. Signs that need emergency care (trouble breathing or swallowing, swelling spreading toward the eye or neck) get a clear "please call 911". Urgent dental problems go straight to your on-call dentist, the way you set it up.

Can it verify insurance and answer billing questions?

Yes, within clear limits. On every plan, it tells patients which plans your office works with, collects their carrier, member ID and subscriber details for your team, and answers general billing questions (payment options, financing, billing policies) from answers you approve. It never guesses what a plan will cover. On Complete Front Desk, it also runs automatic eligibility checks before appointments and helps with balance questions and text-to-pay statements, connected to your practice software during a 2–4 week setup. Setup time depends on your scheduling software.

Which practice software do you work with?

Live booking on the Booking plan and up works through a secure, BAA-covered connection to your practice software, where a supported connection exists. We confirm your exact system and version before you choose a plan. Until it's connected, booking requests go to your team to confirm.

Do we have to change our phone system or number?

No. You keep your number and your phones. You forward after-hours, busy or unanswered calls to us, and we walk you through it.

Will it replace our front desk?

No. It covers the calls your team can't get to: after hours, over lunch, and when every line is ringing. Your team stays in charge of the schedule, clinical questions and anything that needs a human, and starts each morning with one summary of every call.

Is patient information protected?

Yes. We sign a Business Associate Agreement (BAA) with your practice before go-live, and we will only go live on a voice platform that has signed one with us. We require calls to be encrypted in transit and at rest, and personal details will be automatically removed from transcripts. See Privacy & Security for the details.
